Refund and cancellation policy

Eligibility

Refunds apply to deposits and fees paid for scheduled engagement work such as audits, role reviews, workshops, and quarterly check-ins. This site does not sell physical products or software licences.

Timeframe

Cancellation requests should be emailed to info@panelcanvasgrid.digital at least five business days before the agreed kick-off or workshop date for a full deposit refund, unless work has already started.

Full and partial refunds

• Full refund: Cancellation five or more business days before kick-off when no preparation work has begun.
• Partial refund (50% of deposit): Cancellation between two and four business days before kick-off, or when limited preparation (for example access checks) has begun.
• No deposit refund: Cancellation within one business day of kick-off, no-shows for scheduled interviews or workshops without timely notice, or after substantive observation work has started.

Non-refundable items

Completed report delivery fees, completed workshop fees, and third-party venue costs booked at your request are non-refundable once incurred. Pre-approved travel expenses already spent for on-site visits in Greater Kuala Lumpur are likewise non-refundable.

Work already started

If interviews or observation sessions have begun, fees for time already spent are deducted from any refund. Unused remaining scope may be credited toward a rescheduled engagement within three months by mutual agreement.

Rescheduling

One complimentary reschedule is available with at least three business days’ notice. Later reschedules may incur a RM 250 administration fee.

Deposits and no-shows

Deposits secure calendar time and preparation. Client no-shows for a confirmed workshop or readout without 24 hours’ notice forfeit the deposit for that session.

Refund process and method

Email info@panelcanvasgrid.digital with your booking reference and reason. Approved refunds are returned via the original payment method within ten business days of approval. Bank processing times may add several days.

Exceptions

If we cancel an engagement for reasons on our side, you receive a full refund of amounts paid for undelivered work, or a free reschedule at your choice.
